Here you will find important exhibitor information and deadlines as well as marketing & sponsorship opportunities available to exhibitors to help you get the most out of your participation in the Food Safety Summit Conference & Expo.

Included in your Exhibit Space Fees :


  • 8’ high blue and white booth backdrape.
  • 3’ high blue side dividers.
  • 7” x 44” booth identification sign with company name and booth # hung on the back drape.
  • (3) complimentary full-conference exhibitor registrations per 100 nsq
    (example: 10x10 = 3; 10x20 = 6)
  • FREE admission to all networking functions
  • FREE publicity & marketing opportunities 

All other services (carpet, furniture, electric, etc.) must be ordered separately.

    All exhibits must be fully installed by 2:00pm on 5/5/20 - no exceptions

  • Thursday, May 7, 2020 - 2:30pm - 7:00pm
    All exhibitor materials must be removed by 7:00pm on 5/7/20 


Exhibit Display Guideline
Food Safety Summit follows the International Assoc. of Exhibitions and Events (IAEE) Guidelines for exhibition displays. Contact show management for any specific questions regarding your booth. Download Display Rules & Regulations

Height Restrictions / Hanging Banners:
The lowest ceiling height in Hall A is 18’6”, however some areas have higher clearance. The maximum height limitation on banners for The Food Safety Summit is 16'. Most banners/signs are hung 11' from the ground to the bottom of the banner. Further information on hanging signs can be found in the Exhibitor Services Manual.

2020 Exhibitor Service Kit will be available Fall 2019.

Rosemont Exposition Services (RES) is the official show decorator of the Food Safety Summit. The RES Exhibitor Service Kit includes important details and deadlines for furniture, carpet, electrical, labor, shipping and other important services you may need for your booth.


REQUIRED: Every booth must have carpet or floor covering.

Lead Retrieval will be available to order Fall 2019.

American Tradeshow Services (ATS) is the official lead retrieval vendor for the Food Safety Summit. With ATS you have the option to rent an easy to use scanning unit or a mobile app that works on your iPhone, iPad or iPod Touch.



Proof of Insurance is Mandatory

Having insurance will protect your company, employees, and volunteers, should a claim arise against you for something that occurred at your booth. As a standard requirement for all Food Safety Summit exhibitors, it is necessary for you to carry general liability coverage from an insurance company in good standing.

Your certificate of liability insurance MUST include the following: 

  • Policy Limit: Minimum policy limits of $1,000,000 per occurrence
  • Additional Insured:  BNP Media (producers of Event) and Donald E. Stephens Convention Center (location of Event) must be named as additional insured.
  • Policy Dates: Your insurance must be in force during the lease dates of the event, May 6 – 9, 2018.

How do I submit my form?  Forms are accepted by Email. Email your proof of liability insurance to Rachel at heiressr@bnpmedia.com. Be sure to include the exhibiting company name and 'Food Safety Summit' in your message.

IMPORTANT: Proof of insurance is require ONLY in the year your company is exhibiting at the Food Safety Summit. Please instruct your insurance company BNP Media should NOT be added to your automatic renewal.   


Exhibitors Required to Register Online 

Each exhibitor receives (3) exhibitor badges per 100nsf of exhibit space.
(Example: 10x10 = 3, 10x20 = 6) 

Exhibitor badges include: access to sessions, exhibit hall, lunch, and networking functions (excludes certification courses). Your badge also grants access to the floor during move-in/out hours and before the floor opens to attendees each day.

Show management will provide you with a customized exhibitor code to register your complimentary badges. 

Additional Exhibitor Badges can be purchased at the below discounted rates: 

  • 3 day full-conference: $512.50
  • 2 day full-conference: $447.50
  • 1 day full-conference: $347.50
  • Exhibit Hall Only: $195 (excludes lunch and sessions)

Exhibitors receive a company listing in the on-site Show Directory and event mobile app. Listing includes: address, phone, web site, company description (75-word limit) and up to 5 product categories.

Exhibitors will be emailed instructions on how to create their company listing.

Increase your exposure at the Food Safety Summit Conference & Expo by becoming a sponsor or take advantage of the many marketing opportunities that will give your company significant presence to a targeted audience of food safety professionals.



Exhibitors may request to receive the 2020 Food Safety Summit pre-show and/or post-show attendee lists at no charge (included with exhibit fees). This is a great opportunity to invite attendees to your booth, set-up appointments and assist in your follow up efforts after the event.

Request form will be available Fall 2019.


One of the top five reasons exhibitors participate in a trade show is to gain exposure through media coverage. BNP Media has teamed up with Riemer Communications to provide exhibitors a cost effective way to communicate messages about their new products and services to editors, reporters and bloggers that have been invited as well as those that have registered for the Summit. News stories that come out of a trade show can make a company's entire year. For a new company or product, it can put them on the road to success.

The Food Safety Summit offers exhibitors many free ways to help get their name out to the media.

  • Post Your Company Press Releases on Event Website –
    The Food Safety Summit will post your company press release to the Industry News feed at no charge. This section on our website is where we are directing all of the press & media to find out the latest news from the show and our exhibitors. We invite you to submit your press release concerning new product announcements, important company news or any features regarding your show participation.
  • Share Your News with the Invited & Registered Press –
    BNP Media has several publications under the Food & Beverage Packaging sector.  We are also very lucky to have a great relationship with Food Safety Magazine, Food Safety news, Food Quality & Safety, Quality Assurance and other media outlets. Many of them are working on their pre-show issues and planning show coverage, we recommend you connect with the editors with your press material and also invite them to visit your booth at the Summit.
  • Drop off Media Kits in the On-site Press Office –
    We encourage exhibitors to bring display company information in the Press Room for media access. Up to 25 press kits may be dropped off in the Press Room on-site. We suggest you have copies on hand in your booth as well in case a reporter stops by. The press room will be open to working members of the editorial press. Have an interview scheduled? You are welcome to use the press room for those meetings.

Parking - A public parking garage is located behind the Embassy Suites (across street from main entrance) and connected via skywalk. The Food Safety Summit does not validate parking.

Airport Shuttles - All hotels in the Food Safety Summit room block offer 24 hour, complimentary airport shuttles from O'Hare International Airport.  

Hotel Reservations - onPeak is the official housing vendor the Food Safety Summit. By booking in the Summit’s official group block you will receive considerable discounts on room rates at several hotels near the Convention Center. For the best rates and availability we encourage you to book your rooms early.
